03 / WHAT IS AN INVOICE

An invoice is the bill that turns work into revenue.

An invoice is a dated document you send to a client that lists what you delivered, how much it cost, and when payment is due. It is the legal record both parties use for accounting, taxes, and dispute resolution.

What every invoice should include

  • Your business name, address, and contact so the client knows who to pay and how to reach you.
  • The client's name and address as they appear in your contract or order.
  • A unique invoice number for your records and theirs. Sequential or date-based (e.g. INV-2026-0042).
  • Issue date and due date. Net 14, net 30, or whatever terms you agreed on.
  • Itemized line items with description, quantity, rate, and amount. Specific enough that a future you, or an auditor, can reconstruct the work.
  • Subtotal, tax (if applicable), and total in one currency. Spell out the currency code if the client is in a different country.
  • Payment instructions or notes — wire details, ACH info, or a link to a Stripe / Paddle / Wise payment page.

When to send the invoice

For one-off projects, send the invoice the day the work is delivered. For retainers and subscriptions, send on a predictable cadence (1st of the month works for most clients). The faster you invoice, the faster you get paid — late invoicing is the single most common reason small businesses run out of cash.

How to send it

Email a PDF. Don't send a Word doc, a Google Sheet link, or an image. A PDF is the universal format every accounting system, payment processor, and tax authority expects. This tool generates one for you — fill in the form, click Save as PDF, attach it to your email.

Will the saved PDF be branded with Napkin?+

No. The output is a clean, neutral invoice with only your business details on it. We don't add a footer, logo, or 'made with' link.

Where is my invoice data stored?+

Locally, in your browser's localStorage. Closing the tab or refreshing the page keeps your draft. Clearing your browser data or using private mode removes it. We never see it.

Can I use this for international or multi-currency invoicing?+

Yes. The currency dropdown supports USD, EUR, GBP, CAD, and AUD. All totals and tax calculations re-render instantly in the selected currency.

Is this legally valid as a tax document?+

A PDF invoice generated by this tool is a standard, accepted business invoice format. We are not your accountant though — for tax-specific compliance (VAT, GST, regional rules), confirm with a local accountant. Most jurisdictions just require the seven fields we capture.
